1At checkout
A card, not a list.
A patient scans the card at the front desk, gives a first name and a mobile number, and says when to be called. That opt-in is the only thing that ever starts a call. You never upload a patient list, and nobody is called who didn’t ask.
Included
- QR check-in cards for the practice, ready to stand at checkout
- First name and mobile number only; no date of birth, no insurance, no medical details, ever
- The patient picks now, in fifteen minutes, or in an hour
- The practice can set a wait of its own, such as until numbing wears off
- Consent wording on the page, in plain words
- A pause switch in your settings: one toggle, no calls, until you turn it back on

2Minutes later
Jade calls, and listens.
She says who she is, that she’s an automated assistant, that the call is recorded, and gives your office number. Then she asks how the visit went and listens, one question at a time, for two or three minutes. If it’s a bad time, she goes. If the patient says no, that’s the end of it.
Included
- A dedicated calling number and an agent for your practice, with a script you approve
- The disclosure on every call: automated assistant, recorded, your office number, permission first
- One question at a time, in the patient’s own words, never a survey
- Asks which provider or team member the patient saw
- No medical, billing or legal advice, ever; those questions are routed to you
- Anything that sounds urgent is pointed to the practice or to urgent care, never assessed
- Calls only between 8 a.m. and 9 p.m. in the patient’s time zone
- Several languages
The call, on the record
3Right after the call
A recap, and the same offer for everyone.
The patient gets a text with a link to their recap and a link to your Google listing. Every patient gets the same link, however the visit went. Jade never asks for stars, never offers anything for a review, and never decides who is asked.
Included
- A recap text within minutes, with a private link to what was said
- A drafted review in the patient’s own words, from the call: nothing invented, nothing whitewashed
- The patient edits it, copies it, and posts it themselves, or doesn’t
- The same close and the same review link for every patient; no gating, no filtering
- The ask is framed as helping other patients find the right practice, never as a favour to you
- Texts go from a verified number; every text carries a way to stop them
The text, minutes after the call
4The same day
You hear how every visit went.
The transcript, how the patient felt, a short summary and anything that needs a call back land in your dashboard the same day, credited to the provider the patient named. A rough visit reaches you the day it happened, in the patient’s words.
Included
- Every call: transcript, sentiment, summary and the drafted review
- Follow-ups flagged: a billing question, a long wait, a request for a call back
- Attribution to the provider the patient named, against your roster
- A dashboard per location, and roles for the owner, an administrator, a location manager and a viewer
- Invite your team by email; each person sees what their role allows
- The same patient is not asked again for fourteen days, or longer if you choose
- Your own test calls are labelled and kept out of the counts and the bill

5Around all of it
Set up by us, priced per call.
We set up your number and your agent, test the number from real phones, and switch you on. The pilot is thirty days at $1.50 per completed call, with no setup fee, no seat fee and no minimum. After the pilot, CheckInCall is $699 a month per active location, and we confirm what applies with you before anything starts.
Included
- Number, agent, cards and roster set up for you, usually within a week
- A test call from phones on two carriers before any patient is called
- $1.50 per completed call for the thirty-day pilot; a card on file costs nothing until Jade completes a call
- $699 a month per active location, after the pilot; disclosed, never charged automatically
- Business associate agreements in place with the voice, telephony and cloud vendors under the call
- Transcripts are private to your practice and never shared across practices
- No advertising trackers on the patient pages; Google Analytics is kept off them

Sign up, see your own numbers, and your dashboard carries the rest. Nothing calls a patient until you have approved the script and we have set up and tested your number.
